Plans, Seats and Usage Limits

This page is the reference for what each ProcessMind plan includes: the seat types, the monthly AI credit pool, storage and event limits, viewer seats, and how usage limits are applied. Your Order states the plan, the seats, and any negotiated terms; where this page and your Order differ, your Order governs.

Plans

ProcessMind has four paid plans plus Process Individual. Each plan answers one question:

Seats

ProcessMind is licensed per seat. A seat is an entitlement for a single user; the features a user can access depend on that user’s seat together with the plan the organization holds. Higher seats include everything below them.

Annual billing starts at 15% and improves as your committed seat count grows. Seat prices are on the pricing page; prices exclude VAT.

Seats are added or removed in the workspace; where the number of active users exceeds the seats in the Order, the adjustment is applied as described in the Customer Agreement §9.1(g).

What each plan includes

Process Individual gives one user a capped demo of the platform: model, mine, simulate, and read dashboards with 10,000 events per dataset, 20 AI credits per month (hard limit), 5 model or documentation exports per month (artifact exports are unlimited), 250 MB storage, and unlimited models. No viewer seats and no approvals, but you can own processes. Adding additional members requires a paid plan: the plan holds exactly one user, so the add-user button is disabled.

Process Foundation includes BPMN 2.0 modeling, real-time collaboration, the process catalog, AI process generation, the AI assistant, the auto-layout engine, BPMN import and export with PNG and PDF export, version history, and documentation export (Word, Markdown, PDF).

Process Architecture includes everything in Foundation, plus the process landscape and hierarchy, value stream mapping, documentation and artifacts, RACI, model quality and standards, governance, the interactive Process Portal, role-based access control, and full audit logs.

Process Intelligence includes everything in Architecture, plus operational intelligence dashboards, AI-powered process insights, process variant analysis, process compare, automatic process discovery, process mining, process simulation, process animation, process health scores, and conformance checking.

Enterprise includes everything in Intelligence, plus many environments, custom enterprise SSO, the MCP server and Bring Your Own AI, organization statistics, full white-label (OEM), and flexible enterprise agreements.

Workspace and portal styling (logo, colors, theme) is available on every plan; full white-label without ProcessMind marks is an Enterprise agreement.

AI credits and usage allowances

Each seat includes a monthly pool of AI credits. Credits are shared by the organization and consumed by metered features, including AI, preprocessing, data ingestion, simulations, dashboards, exports, the external API, and MCP.

Once a credit allowance is exhausted, metered features are unavailable or rate-limited until the allowance resets, is increased, or additional capacity is ordered. Process Individual and trial plans stop at the limit; academic allowances follow the Academic Alliance agreement; paid plans notify administrators and continue, and any overage is handled as described in the Customer Agreement.

Unused credits reset each month and never accrue — plan allowances and credit packs alike. Customers that want a higher included allowance can add a usage credit pack: +5,000 credits per month (Process Foundation and up; rates on the pricing page).

Portal and dashboard viewers

Viewer seats give read-only access to published processes in the Process Portal. They are free and never count against paid seats.

Extra portal viewers can be added in packs of 100, and extra dashboard viewers in packs of 10 (Intelligence and up); rates are on the pricing page. Analytical dashboards are read by Intelligence seats and their dashboard viewers; Foundation and Architecture seats do not see dashboards.

Viewers can browse and search published processes, open published models read-only, read documentation and RACI, and export published documents. They cannot edit, publish, or manage anything, and they cannot export models, artifacts, or analysis.

Storage covers models, documentation and artifacts. The event ladder applies where the data features exist: Foundation and Architecture are modeling tiers with no upload pipeline, and Process Individual is a capped demo. Datasets per model are bounded by storage and events rather than sold as a plan limit; upload size is a platform-wide technical ceiling rather than a plan limit; and data preprocessing is capped by the preprocessing credits inside the AI credit pool. Environments (creating additional tenants in the workspace) are available up to each plan’s limit, and from Process Architecture up additional environments can be purchased (rates on the pricing page; yearly billing is 15% less); every purchased environment adds 100 portal viewers. Enterprise is agreed by contract.

API and MCP

The REST and Data API are available on every plan, metered in usage credits behind one platform-wide operational rate limit (requests per minute per organization — not a plan limit). The MCP server (Model Context Protocol) is available on Enterprise. Both are metered in the usage categories above.

Fair use

Where an entitlement is described as “unlimited”, “unmetered”, or similar, it is provided on a fair-use basis for internal business purposes, consistent with normal usage patterns for the applicable service and the customer’s size and use case. Usage that materially and persistently exceeds the included allowances, or that threatens the stability, security, or availability of the service, may result in protective measures as described in the Customer Agreement §4.7.

How limits and allowances change

ProcessMind may update plans, features, allowances, and limits. Material changes are notified in accordance with the Customer Agreement. The plan, seats, and any negotiated terms in your Order govern over this page.
